Description

This position will provide administrative assistant functions and support for the Continuing Education Coordinators, Office Manager, and the Director of Community Education. This position will be responsible for carrying out operational functions by accurately entering and retrieving appropriate information to/from institutional databases, prepare computer generated correspondence, complete program/course logistics, including but not limited to preparing and distributing contracts or agreements, complete invoices, evaluations, purchase orders, reimbursements, and other office duties.? This person will be responsible to disseminate information, answer diverse and detailed questions from prospective clients/customer, greet current and prospective students and community members, manage, and develop divisional efficient processes related to effectively meeting the departments functions.

Job Duties

  • Maintain and produce accurate office files, correspondence, and materials as requested
  • Provide reception services for the CE department. Including answering the main CE phone line, greeting, and assisting walk-in students and monitoring the departmental email.
  • Coordinate and schedule CE and outside organization division meetings/events which include: scheduling events, maintaining room scheduling, creating agendas, research/gather information for handouts/presentations, assemble handouts, transportation, food/beverage, billing, attendance records, follow-up, correspondence, A/V needs, etc.
  • Build CE division courses, register students as requested, initiate student refunds when necessary, following applicable policy.
  • Assist the CE coordinators with registering students, course building, finalizing contracts, sending out invoicing and collecting payment, scheduling, testing, paperwork, and other duties to ensure the successful completion of courses/programs.
  • Complete course cancelations, reminders and certificates in a timely manner.
  • Ensure the registration and grading process for assigned courses and certificate programs is completed in a timely and accurate manner. Manage course cancelations when necessary.
  • Provide administrative support for the 260 and WTED programs.
  • Work collaboratively with programs by reviewing courses, inputting grades, , and obtain miscellaneous paperwork required for division records.
  • Maintain office files, type correspondence, develop reports, and other written materials.
  • Develop and process mailings, faxes, and e-mails CE.
  • Provide assistance for students, visitors, and special visits as needed.
  • Assist faculty with technology, maintenance, room or equipment needs.
  • Represent the college in a positive manner. Handle college and student matters with confidentiality and tact.
  • Maintain regular and consistent attendance at work.
  • Maintains high professional standards for the quantity and quality of services provided.
  • Other duties as may be assigned.

Qualifications

  • High school graduate or equivalent required. Administrative assistant or relevant work experience preferred
  • Excellent verbal and written communication skills 
  • Strong organizational skills including the ability to multi-task, to meet deadlines, to maintain and access paper and electronic files, to produce error-free final products, and to manage time and output
  • Excellent customer service skills required 
  • Proficient use of Microsoft Office products (Outlook, Word, Excel, PowerPoint)
  • Ability to read, write and speak English fluently
  • Enthusiastic and dedicated to the challenges of helping other people
  • Ability to function collaboratively as part of a fast-paced, customer-oriented team
  • Professional in communications, appearance, relationships, and responsiveness
  • Positive attitude
  • Self-starter with the ability to perform with little or no direct supervision
  • Regular, prompt & reliable attendance
  • Ability to pass a background check, have a valid driver's license and good driving record

Physical Demands

  • The employee frequently is required to sit for extended periods of time and use hands to operate computer keyboard, telephone and basic office equipment
  • While performing the duties of this job, the employee is regularly required to talk and hear
  • Ability to lift up 10lbs
  • Ability to drive company owned or personal vehicle.
