Primary Function:  The Manager plays a pivotal role in steering the daily operations towards strategic objectives, maintaining a sharp focus on quality and efficiency. Key responsibilities encompass a broad spectrum of university functions. Additionally, the position requires meticulous maintenance of student records, all performed within the framework of stated Servicer Level Agreements (SLAs). This role demands a proactive approach to ensure that essential educational processes run smoothly and consistently meet the expectations and needs of the institution.

 

The manager holds a vital role in managing various crucial aspects of university records. This includes the posting of university grades, participation verification, creating and managing terms, processing add/drops, supporting admissions functions, and overseeing document management such as receiving and fulfilling transcript orders. These responsibilities must be carried out within the defined Service Level Agreements (SLAs), highlighting the position’s central role in ensuring seamless administrative processes and compliance with institutional standards.

 

 

Essential Functions:

 

Supervision & Direction of Day-to-Day Activities

  • Collaborates with the Associate Registrar/Registrar in planning and setting team goals.
  • Aids in developing and implementing operational policies and procedures in the assigned area.
  • Consults with various University offices linked with admissions to ensure accurate and timely student admittance and enrollment.
  • Maintains integrity across various University systems.
  • Proposes process and system improvements to increase efficiency and enhance student service quality.

 

Staff Supervision & Development

  • Takes charge of training new team members.
  • Imparts clear directions and priorities, focusing on quality standards, service, morale, and teamwork.
  • Aligns staff goals with strategic business objectives.
  • Continuously monitors and reviews the performance of personnel.
  • Fosters development and coaching to ensure quality service.
  • Assists staff in resolving issues with both internal and external customers.

 

Regular Reporting & Data Compilations

  • Conducts regular reporting, gathering data to prepare statistical reports that measure staff and student metrics.

 

Continuous Learning & Improvement

  • Stays informed about developments in the area of expertise.
  • Investigates emerging issues and recommends enhancements to existing capabilities.

 

Marginal Functions:

  • Performs other duties as requested.

 

Education:

  • A Bachelor’s degree or equivalent is required, preferably with some completed post-secondary coursework in fields such as Business, Management, Accounting/Finance, or related disciplines.

 

Experience:

  • Minimum of three (3) years of experience within a Registrar’s Office setting required. Preferably in the areas of curriculum management, transfer credit, and records and enrollment.
  • Minimum of three (2) years of supervisor experience preferred.
  • Familiarity with information systems processing and proficiency in Customer Relationship Management (CRM) software is highly valued.

 

Computer skills:

  • Three (3) years’ experience with PeopleSoft required; experience with PeopleSoft Curriculum Management, Records and Enrollment, and Academic Advisement modules, Snag It tools, and Query preferred.
  • Proficient knowledge and skills with Microsoft Office – specifically Word and Excel.

  • Possesses a meticulous focus on detail, coupled with research and organizational skills, ensuring the delivery of quality work.
  • Demonstrates the capability to evaluate needs, craft plans, and utilize metrics to gauge productivity and effectiveness.
  • Committed to providing exceptional customer service, with robust verbal and written communication skills.
  • Adaptable to a fast-paced work environment and skilled in managing tasks under stressful, time-sensitive conditions.
  • Upholds a strict confidentiality standard in handling sensitive account and student information.
